Pharma AI Monitor provides AI Pulse, a business analytics platform for pharmaceutical brand teams and their agency partners. This policy covers our public website at pharmaaimonitor.com and our application at app.pharmaaimonitor.com, including optional connected services.

The platform runs questions selected by users, analyzes AI-generated answers, and helps teams review brand visibility, competitive positioning, messages, and supporting evidence over time.

• Account and contact information: name, business email, organization, job title, account role, and information you submit in a contact or demo request.
• Workspace content: brand settings, profiles, research questions, evidence, comments, files, and other information you or your organization provide, together with generated answers and analysis results.
• Service and security information: sign-in activity, IP address, device and browser information, logs, errors, and feature usage.
• Website activity: pages and links visited, form interactions, referral information, and campaign parameters. Our website may use cookies and similar technologies for functionality and analytics.
• Support information: messages and other details you send when requesting help.

Google integrations operate only when enabled and authorized. For the Google Ads integration, an authorized administrator provides OAuth authorization and the Google Ads account identifiers needed to request keyword ideas and aggregate search-demand estimates for configured brand and disease terms.

We process the authorization credentials, account identifiers, seed terms, geography and language settings, and the returned keyword ideas and search-volume statistics. We use this information to suggest research questions for human review and show the source and demand context behind those suggestions.

This integration does not read individual search histories, Gmail messages, Google Drive files, or calendars. It does not create or change advertising campaigns, ads, bids, budgets, conversions, or remarketing audiences. Google Trends access is a separate integration and is not implied by a Google Ads connection.

OAuth credentials and refresh tokens are kept server-side with restricted access; they are not exposed to browser clients. Keyword observations and their source information are stored with the relevant workspace so authorized users can review question suggestions and their provenance.

Google-derived information is available to authorized users of the relevant workspace and to service providers needed to host, secure, and operate the integration under contractual restrictions. We do not sell Google user data, use it for targeted advertising, or disclose it to unrelated parties for their own purposes. OAuth credentials are not sent to AI model providers.

We do not use Google Workspace APIs to develop, improve, or train generalized AI or machine-learning models. Pharma AI Monitor's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

• Provide and maintain the website, platform, analytics, and requested integrations.
• Authenticate users, enforce organization and brand permissions, investigate errors, and prevent misuse.
• Run the questions you select, analyze returned answers, and produce evidence-linked findings and review-only suggestions.
• Respond to inquiries, arrange demonstrations, and send service, security, and support communications.
• Understand website and feature usage and improve the service; send marketing communications where permitted and respect unsubscribe requests.
• Meet legal obligations and enforce our agreements.

We do not sell personal information. We share information only as needed for the purposes described in this policy:

• With your organization's authorized administrators and users, according to workspace permissions.
• With service providers that host, secure, support, or help operate the service under contractual restrictions.
• With AI providers when questions and relevant context are sent to generate answers or perform the analysis requested through the platform. Do not include patient-identifiable information in questions or uploads.
• With connected services you authorize, subject to the integration-specific disclosures above.
• When required by law, necessary to protect rights and safety, or as part of a corporate transaction, subject to applicable protections.

We retain account, workspace, and service information for as long as needed to provide the service, meet contractual and legal obligations, resolve disputes, and protect the service. This includes Google-derived keyword observations while needed to support the relevant workspace and its reviewable research history.

You can revoke Google authorization through your Google Account connections, or contact us to disconnect the integration and request removal of its stored credentials and data. Revocation stops future authorized access; it does not automatically remove previously stored workspace records.

To request access, correction, or deletion of your information or Google-derived data, email [email protected]. We may verify your identity and coordinate with your organization's administrator. We delete or de-identify information when it is no longer needed, except information that must be retained for legal, security, or contractual reasons. Any retained backup copies remain protected until removed through the backup lifecycle.

We use administrative and technical safeguards designed to protect information, including access controls, organization-level permissions, encryption in transit, and restricted server-side credential handling. No system can guarantee absolute security.

Information may be processed where we or our service providers operate, including outside your country. Applicable contractual and legal protections govern those transfers.

Depending on your location, you may have rights to access, correct, delete, restrict, or obtain a copy of personal information. Contact us using the address below; organization-managed requests may be routed to your administrator. You can manage browser cookies through your browser settings, unsubscribe from marketing messages, and revoke connected-service permissions.

Pharma AI Monitor is a commercial analytics tool, not a patient-record system or a source of medical advice. Do not submit patient-identifiable information unless a written agreement with us expressly permits it. The service is intended for business users and is not directed to children under 18.
